Job Description: Administrative Assistant

Job Summary:

Provides a variety of basic secretarial duties for supervisory, administrative and /or professional employees. Must be capable of applying good English language and business practice skills in completing assignments.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Answers telephones for CVEU and Bossier Office of Homeland Security & Emergency Preparedness (BOHSEP) in a professional manner, takes messages, notes and maintains an accurate log of inquiries.
  • Monitors radio traffic for both CVEU and BOHSEP.
  • Answer questions as related to applications, permits, citations, payment of fines and designated route questions.
  • Receives all information with regard to permits and responsible for transferring this information to the right permit.
  • Issues permits.
  • Maintains the data base of types of permits issued and their respective permit number.
  • Maintains accurate filing system of permits, violation reports and all related correspondence.
  • Prepares correspondence for CVEU and Director of BOHSEP. Prepares citation letters as needed for CVEU.
  • Informs supervisors of incoming information that may create a hazardous or dangerous situation using maps, Department of Natural Resources (DNR) web- site information and input from Louisiana Department of Transportation Department (DOTD) and Louisiana State Police (TESS).
  • Posting and removal of the Parish and American flags each day.
  • Responsible for screening and granting access to secured areas of BOHSEP.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED) and one year related experience and/or training; or equivalent combination of education and experience. Personal computer literacy is required to include Excel, Access and other basic programs in M/S Office.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively and professionally to customers or employees of the Parish.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

CERTIFICATES, LICENSES, REGISTRATIONS

Must possess a valid State Driver’s License
